Steve--
Check the contract with the conference facility. I just got done with
the REFORMA Conference and it was defined in the contract that AV
support had to be supplied by either the convention center or by a
vendor from their approved list.
Whatever you want to try, you may need to negotiate it.

I'm researching options for conference session recording equipment and
systems. Does anyone have any suggestions, either the penny pinching
route or something more middle of the road? Ideally, I'd like to be able
record presentations at our conferences and then make them available on
our website.
Would I be smarter paying a conference facility to provide those
services?
I really like the way EDUCAUSE makes their conference presentations
available online as podcasts/vlodcasts. Of course, they benefitted from
a corporate sponsorship from Real Networks. Do you think a single state
library association might be able to get a comparable sponsorship?
