We moved about two years ago and planned a two week closure to move the
collection and staff. We took the library out of the holds queue
starting about a week before the move and did not add back in until
about a week after opening. Just to give us time to adjust.
We did check the system occasionally for holds that some how got through
and we just denied the request as unavailable.
Once we got close to the move date, we started extending all check outs
for a return date a week or so after we planned to re-open. This way we
figured we had less to move and did not have much coming back in during
the move.
We put a sign at the old site stating the closure dates and also
directed them to the new site's drive up book return. The books that did
come in while we were closed we just accumulated until a few days before
opening and then backdated the return date to the last date we were
officially opened and discharged them all at once. We had many less
returns than normal as there were no due dates the weeks we were closed.
I would be happy to discuss the move process in detail if you would like
more information. We are a small library with a population of 10,000 and
a collection of 45,000 items. We used a combination of volunteers and
professional movers to do the actual move and we had a large delivery of
new items that came in during the move.

In March 2009 we also will be moving into a new facility. We are leasing
the current facility month to month and our administration is willing to
continue the lease after we've moved most of the stuff so we don't have
to be in a hurry to quit the building. So far there's no word on how
long we'll be closed or whether we'll keep the old facility partly
staffed for returns and holds pickup while most staff are working in the
new building. The only thing we're fairly sure of is that before we
close, all material will have a 6 wk loan period and we'll encourage
patrons to keep the materials the entire time.
We created a project planning chart putting in all the tasks that
occurred to us and designated the month in which the task needed to be
accomplished. We included both branch staff tasks as well as tasks to be
completed by administrative office staff (Collection Development,
Marketing, Technology Support, Facilities, Graphics, etc.) I can send
you a copy if you think it would be helpful.
I would imagine that since your collection will be unavailable, you
wouldn't be searching for hold or Interlibrary Loan material. Does your
ILS allow you to take your branch out of the hold matrix? In our system,
we usually rely on staff to make it clear to customers that a branch's
collection is unavailable during the renovation.

In about 8 months the Beloit Public Library will be moving into a newly
renovated building about 1 mile from its current location. We would like
to
start planning several aspects of the move and would love some advice.
We
will be shut down for approximately 2 weeks during the move and we need
advice on what to do about holds, returned materials, paging requests
from
other libraries in the consortium, etc... Any
ideas/thoughts/suggestions
would be most appreciated.
