[Publib] Dealing with library program listings in multiple formats

I am hoping someone out there has found an effective way to deal with
this problem.
We put on over 3,000 programs in our system's 12 libraries each year.
In an effort to inform the public about these offerings, we produce a
printed newsletter that is distributed to our Friends group. We also
have a PHP calendar program on our web site, and each location has
certain staff members who are authorized to input events. At least half
of our branches also produce a print calendar to hand out to patrons.
Each of the three listings requires a different format from the others,
but none of them requires direct contact with the webmaster, who then
may remain in the dark about some of our more exceptional programs.
That is, unless he decides to sit down and read the web calendar from
cover to virtual cover.
Has anyone devised a good system for making sure that everyone has the
information they need, in the format in which they need it, with less
effort than we are currently putting forth?
