We have monthly staff meetings and the agendas are created in the
Outlook folders section. Any staff can add an agenda item, anytime.
Often we have demos and training (and food!).
We use the same structure for management team and department meetings.
It's very easy to add a topic instantly.

For monthly Dept. Heads' meetings we use shared folders to post an
agenda (and people can request adding topics to each agenda) and minutes
of meetings. All branch librarians come, as well as HQ dept heads.
Sometimes we include training bits. We also have food and drink. :-) For
weekly staff meetings we don't pre-plan. We go around and share news and
problems and "I saw that's" when we have witnessed good things someone
did, and want to share that with everyone. We meet the half hour before
the library opens each Wednesday.
