Kari,

If there's a chance that the book belonging to the OCLC designated lending library is not yet in transit, we phone that library and ask them 1) not to ship the book, and 2) to recall and complete the transaction on OCLC. We then process the copy from the library that didn't update. There's no live OCLC record in this case, so ILLiad will generate some error reports when you receive the material, but these are easily cleared. Alert: If you do this, be sure either that the updating library has recalled and completed the OCLC transaction before receiving on ILLiad or that you've removed the OCLC information from the ILLiad record yourself (put in in the notes field) so that ILLiad doesn't update the OCLC record to received.

If the book is already in transit from the updating library, we just return the copy to the library that didn't update and await receipt of the other copy. If there are IFM charges involved, you may be asked to submit a dummy request on OCLC, if the library insists.

When one library has updated an OCLC borrowing request to Shipped, but an item arrives from a previous library on the lending string, is there an acceptable way to receive the item in hand? We realize that our ILLiad system would allow us to receive the item from a lender that didn't update, but then ILLiad updates the OCLC status to Received - which indicates that we've received the item from the lender who updated to shipped before their item actually arrives.

Are there any guidelines about waiting for the item shipped by the lender showing in OCLC? What do your libraries do?
