[ILL-L] Holiday closings

Holiday closings--we have already updated our Voyager (ExLibris' Endeavor) exception dates and OCLC policies directory.
We close early on the 25th of November and are closed until Sunday evening, the 29th of Nov. We close early on the 23rd of December and are closed until January 4, 2009. Our delivery service is also closed most of these times, as well.
2010 will be here before we know it!

I'm trying to get a handle on our staffing needs for the Christmas
holidays and have been asked to formally gather some numbers from the
interlibrary loan community.
So, I'm looking for the following information:
1) Are you closing/going lower case the week between Christmas and
New Year's?
2) If not, are you just closing for the actual day (Christmas Day
or New Year's)?
3) If you are open over the holidays, do you have a policy in place
to manage the expectations of your patrons about delivery?
If your library is closing that week, feel free to say so as well. All
this info will be kept anonymous, even from my bosses. I'm happy to
post numbers and a summary of whatever I receive.

The University of Great Falls is closed Dec 24-Jan 3. Campus is
completely closed and they turn the heat down and the only office open
is Admissions (to take care of those last minute enrollees.

The week between Christmas and New Year's will be staff holidays here, which means no one doing the mail, so no ILL shipping or receiving can physically occur. I'm around to look at requests, since I live near my office, but with no shipping possible, we're going lower case.

Our whole university is closed the week between Christmas and New Years,
so we are lower case that week. If I take additional vacation before
Christmas or after New Years during the time students are on break, we
go lower case then, too.

ANG is going lower case from Dec.14-Jan.4. The reason it's such a long time is because we are in the process of remodeling and there's some asbestos abatement that needs to be done before the remodeling can start.

I work for a public library system based in Independence, MO. Our
library system is in the process of finalizing a written Collection
Development Policy and will implement training on the document for our
branch managers 2 days this week. Here's my question for the list serv -
does anyone know if there is any written policy regarding a request for
purchase and if that request should be sent as an out-of-system ILL at
the same time it's being reviewed for purchase? I looked at the RUSA
link on the ALA website and could not find any mention of this in the
code.

My library will be closed from December 23-January 4th. This is a combination of furlough days and our traditional winter break. We'll probably go non-supplier on December 21st to make sure our queue is empty when we're closed.

Is this for ILL lending, ILL borrowing, or both?
GLG (LaGrange College) doesn't go lower case over the break, though we may not be supplying for up to four days; I take December 28-31 off, and the other person who handles ILL usually takes some time off, which may or may not overlap. But I come in the morning of January 1 to check on ILL. (I'm better off than my colleague the Electronic Resources librarian, who once had a faculty member phone her at home at 9 a.m. on New Year's Day and ask her to come in to fix her computer.)
The library itself is closed for December 24-26 (we used to get only the 25th off) and New Year's, so officially ILL is closed too (though I have often had e-mailed ILL requests from our patrons on January 1, and once I even had one on December 25).
I e-mail faculty and staff in early December and warn them that many libraries are closed for ILL in late December, and tell them that if they submit ILL requests after December 15, I may wait until January 2 to transmit them. (I must admit that it this is partly to cover myself. Normally I transmit requests if there are libraries that have the book and aren't lower case. But sometimes I get book requests around December 20 and have a choice between sending the requests to a large university library that charges $15 plus or waiting for a library that will supply free on January 2. Also, since smaller libraries supply more quickly, the patron may actually get the book sooner if I wait. Last year, I submitted several requests between December 20 and 31. The average speed for these was 25.4 days, whereas our average speed overall for books last year was 6.8 days. Admittedly this was skewed by one library to which I submitted several requests, but in hindsight, I should ha
ve waited.)
Sorry for rambling--this is more information than you wanted. I guess the short answers are:
(1) No, we're not going lower case.
(2) Yes, we're (officially) closed those two days.
(3) We're open weekdays between Christmas and New Year, but we warn patrons that they may have to wait for requests submitted between those dates. (If an ILL comes in during those days and both of us who handle ILL are away, I get a colleague to open incoming ILL mail so the patron gets ILLs ASAP.)

3) If you are open over the holidays, do you have a policy in place to manage the expectations of your patrons about delivery?

I wonder why there is a need to inform other libraries about your library's holiday closing.? If you set your symbol to non-supplier status on the days your library will be closed for the particular holiday doesn't that achieve the same purpose??? What do libraries who see these closing postings do with the information?? I would be happy to take your responses off the list.

I wondered about that too.? I closed us down one day for our Staff Development Day, did NOT announce it, and came back to some e-mails from frequent borrowers demanding to know what happened.

We go by city union rules so we're always gone the day after Thanksgiving. Christmas and New Year's created some challenges but we only have Christmas Eve and Christmas Monday off - not a whole week.? But then again- JPL is a public library and have collegiates needing to use the facilities before they head back.

Subject: [ILL-L] Need to send out an Odyssey test
Hello!
I tried to send this message out to the Odyssey listserv group, but I
did not see my message post - so I apologize for the cross-posting. I
would like to send a test message to an Odyssey library - so if someone
could send me their Odyssey address, I would very much appreciate it.
All I need is confirmation that I can send a document to an Odyssey
library, and possibly receive a document as well.

I think that this thread is more along the lines of how other libraries handle the holidays. Do they close completely or what? I didn't start the thread, but I'm keeping track. We are given the week after Christmas off and higher ups (higher then the pres) have been questioning it. This thread is some ammo to say that we aren't the only place that closes that week.

I wonder why there is a need to inform other libraries about your library's holiday closing. If you set your symbol to non-supplier status on the days your library will be closed for the particular holiday doesn't that achieve the same purpose? What do libraries who see these closing postings do with the information? I would be happy to take your responses off the list.

I have a quick question. I apologize if it has been asked recently. We do not de-sensitize books that we borrow on Interlibrary Loan. We hand them around the gate to the students and they hand them around as they come in and out, when they remember and set off the alarm when they don't.
I am wondering if other libraries still do this and what the reasoning and current thinking is, for or against it. I believe it started because we did not want to interfere with other libraries' security systems.
I would be interested in responses from different libraries.

I don't desensitize our books because the ILL department doesn't have
the equipment. I don't desensitize borrowed books for the same reason.
The lending ILL department may not have the equipment to sensitize it.
I don't even check our returned books to see if they have been
desensitized.

circulation department desensitize the borrowed items before they give them
to the patron (I've never asked). I also have no idea if our pages
sensitizes those same items when they are returned (I really should
inquire). I figure that our loaned items would come back desensitize so I
give them to the pages and ask them to sensitize them (a little precaution
never hurts).

When we give a book to a patron the circulation staff desensitizes it, and when we get a book back it goes to circulation and they sensitize, so it works out I hope,

Our circulation department does desensitize books as they are checked
out, but they are not sensitized when they are returned. We do,
however, sensitize our own books when they are returned.
