[ILL-L] RE: No charges for ILLINET members

I for one was shocked and dismayed that we, as ILLINET and LVIS members were being assessed photocopy charges for articles from UIU (and probably other institutions) for over 10 pages. This is a clear discrepancy from the LVIS agreement that states articles up to 30 pages shall be provided free of charge. It would be helpful if everyone could develop more consistent policies parallel to the agreements of specific resource sharing consortia. There are many costs to ILL that each institution absorbs. Additionally, it also states in a different consortial agreement that ILL is not a money making venture, nor should it be.

Thank you UIC for taking a step forward to help us trim unnecessary costs.

Beginning May 1, 2009, the UIC Library of the Health Sciences (locations at Chicago, Rockford, Peoria, and Urbana) will no longer charge ILLINET member libraries for article or book chapter requests exceeding ten pages in length. Requests for articles will now be filled with no charge to the borrowing library.

Dear Colleagues,

Minor changes with our ILLiad system will result in temporary interruption of lending services. We will resume inter-library loan on Friday, May 8, 2009.

I know that most of you are converting e-journal articles instead of printing and scanning. We are too, using a very long process called: Informatik pdf Complete

I am interested in what other processes there are that may be faster/simpler.

Ah, a topic I was thinking on just this morning! We convert pdf files to tif files for Ariel by using Print and selecting Microsoft Office Document Image Writer as the "printer". We set the resolution to Super Fine in Properties. HOWEVER, I do notice a loss of sharpness when we do this. I was thinking, just this morning, that it might be better to print and rescan to retain the sharpness (our scanner does a very nice job of it), especially if there are pictures or charts involved. Yes, it makes more paper, but I don't like sending out second quality stuff.

IDS PROJECT WORKFLOW TOOLKIT

Lending Workflow - Easy Article Conversion

Being able to convert your ILL-friendly e-journal articles from PDF to TIFF can be a real life saver, as it enables you to lend articles quickly without photocopying (be sure to check your licenses before supplying). There are a few different ways that you can convert files from PDF to TIFF. This can greatly enhance your ability to lend from your ILL-friendly electronic holdings. This eliminates having to print and scan e-journal articles.

To check it out, visit:

http://toolkit.idsproject.org/doku.php?id=lending:convertarticles

THIS WEEK'S DISCUSSION TOPIC: You decide! (I'm not lazy, but really, what do you want to talk about?) Chime in at:

ABOUT THE WORKFLOW TOOLKIT

The Workflow Toolkit is a repository of best practices for ILLiad users.
The Toolkit is being developed by the Information Delivery Services
(IDS) Project, in partnership with Atlas Systems. The goal of the Workflow Toolkit is to provide a source of tools and best practices to help ILLiad users provide the most effective resource sharing possible.
Visit the Toolkit at http://toolkit.idsproject.org

The Workflow Toolkit draws upon the contributions of the ILLiad community.

To introduce your tricks of the trade, visit the Toolkit's discussion board at the Workflow Toolkit Community at WebJunction:

ABOUT THE IDS PROJECT

The Information Delivery Services (IDS) Project is a mutually supportive resource-sharing cooperative within New York State whose members include public and private academic libraries, the New York Public Library, and the New York State Library (view a list of current members). The Project is based on a strong sense of community among its members and a unified collection perspective. The major goal of the Project is to continually implement and objectively evaluate innovative resource-sharing strategies, policies and procedures that will optimize mutual access to the information resources of all IDS Project libraries.

I think procedure manuals are great, but they take a lot of time to create, especially capturing all the screen shots and then formatting them inside the text of the manual.

May I suggest that instead of a manual, you create a series of "screen casts" and link them to a text document? You will need a microphone to record your voice, but you can get a Logitech headset with microphone for $20 and even under.

ScreenToaster http://www.screentoaster.com is a free web-based screencasting service that will allow you to record each step and create a small video. You don't have to download or install anything. You don't even have to register or log in to use it -- at least I didn't.

You can make a list of each step in the process and then record a short screencast showing how to do each step. A lot of little snippets are easier to review than one long demonstration. You can describe what you are doing as you do it, and then stop and preview the video. You can also do some limited editing -- add captions and so forth. When you like it, save it as a .mov file or a .swf (flash) file, and hyperlink the video to your text list.

You can save everything to a CD or flash drive and your colleague can use it anywhere.

There is also Jing and Screencast, but Jing requires downloading and installing software.

Hope this helps.

I agree completely with doing lending first, and not even bothering with borrowing until the person understands that fully.

Along with hands on training (the most useful thing) I agree a procedure manual is helpful, with screenshots. Then the person can follow along exactly and will be less anxious about clicking buttons. Screenshots make it much easier to follow along and understand.

I think the best thing to offer is lots of patience! And have the person sit at the computer and do all the clicking. The more they get used to sitting in the driver's seat, the better.

Good luck!

Hi Ceil!

Wow, you do have your hands full! Not that ILL is hard but there are so many steps. My suggestion is to start with the lending and work on each aspect separately. Maybe starting with Mail/Delivery methods, OCLC codes, courier and local codes if you use them. In MD we have mail couriers and almost all of Maryland's libraries and a local code along with OCLC code. Then work on the WCRC lending. Last go to your own library system and the steps you use to check out items to other libraries. You could concentrate on ILL/loans for awhile letting the co-worker shadow you while you work. Do this for as long as your training time permits. After you think they 'have it' then you can start on the borrowing.

Many years ago when I first learned ILL basically that's how I was trained. My trainer wouldn't teach me the borrowing until he was sure I thoroughly understood the lending. Looking back I'm glad he trained me this way because it allowed less confusion.

Good luck and let us know your results

We have Ariel 3.4 and we’re getting a new scanner. We have a light workload, maybe scanning 10 articles a day and 10 more sent through the document feeder that we received in print. Any recommendations? We have a Fujitsu 93GX right now which has worked very well. Thanks!

Fujitsu fi-5220c - works great with everything, and doesn't take up a
lot of room on the desktop. It's quiet, fast, easy to use, and scans in
color if you choose!

Well, I said yestersay that things happen in threes, so here is GUA's third
thing: I was emailed our April 2009 Lending Stats earlier today (I signed up
to get only that particular file emailed, since it is always so large for us
that OCLC times out if I try to download it from the Usage Statistics
website).

Thinking that maybe the rest of the stats were ready since I received that
mailing, I went to the Usage Statistics website. The site will only let me
see up to March 2009 on everything, no April 2009 at all.

Since OCLC told us long ago that it could be the 10th of the month before
stats are ready, I'll just wait a few days and see if it's everybody or
(like the other two things I've bothered the list about in the past two
weeks!!) it's just us....

Is anyone else received incomplete OCLC Resource Sharing Stats? Our April
statistics for both Lender and Borrower ILL Management Stats Reports are
incomplete, and our April Stategic Union List Report shows no data at all.
So does our Reasons for No (Lender and Borrower)

I heard from Megan Hopkins at OCLC. They've realized the stats are incorrect and are running them again.
