[ILL-L] ILL staff as missing materials detectives

We'll go ahead and ILL the item if its missing.  Additionally, our policy states that staff check regular stacks, oversize, and depending on the imprint, or other considerations, additional stack locations.  Either circulation or  ILL staff have the responsibilty of updating a record to "missing", along with a note in our circulation system that indicates the date of the first search, and who conducted the search.  About twice a year we do an exhaustive second search, conducted by  ILL, circulation and/or stack staff.   3rd search is conducted by cataloging.  3 searches may sound like a lot to some, but we do find items on the 3rd try.  If the item is still missing after a 3rd search, we delete our symbol off of OCLC and update our OPAC.

In your institutions do you or your staff get the additional responsibility

to track down and/or report 'missing items'?

 

Some of my ILL requests are initiated by readers who fail to locate

items in the local catalog and subsequently are referred to ILL by

other staff. I usually try to followup and find our 'missing' item before

I attempt to borrow it. If I too cannot locate it, I will ask that the branch

manager be notified and mark it missing in the OPAC or possibly re-order.

If its at the headquarters branch where I am located I will print a bib

record and give it to my boss, the reference head.

 

Please offer your experience and the official policy or procedures for

handling this universal problem?
