[ILL-L] Item sent without being "shipped"

This is one of my pet peeves.  A plea to lending libraries- Please,
please update to shipped before you send the book and if you have lost
the request, please don't send the book without an active request where
you are the lender.  

 

We try to notify the "in process" library but it doesn't always work.
It cause untold confusion.

Welcome to ILL!  

 

I don'tthink you can "Receive" an item that hasn't been updated to
"Shipped."  In these situations, I usually e-mail the lending library to
explain the situation, and ask for a due date if there's none on the
paperwork.  If they don't reply, I include a note when I return teh
book, explaining that it was never updated to "Shipped."

 

You're doing the right thing in e-mailing the "In process" lender to
explain the situation rather than just deleting the request (it's
veryfrustrating for a lender to get a book from the shelves, process it,
then find out that the request has disappeared with no explanation;
though in cases where I might have to pay the second library, I
sometimes cancel the request first, then e-mail to explain and
apologize).

 

I hope you're enjoying ILL.  Please ask the listserv when you have
questions.  (I wish I'd known about this when I started; I floundered
about in ILL for several months, learning things by trial and error.)

Hello all,

 

I'm still relatively new to ILL, so I'm sure this issue has been
discussed on this list before. 

 

Today I received a book we had requested through ILL.  However, the item
was not marked "Shipped" by the library who sent it, and in the
FirstSearch record "Aged to Next Lender" shows next to their symbol.
The request is now "In Process" at the next lender in the string.  How
do I receive this item (since that option is not available at the top of
the screen), and how do I ensure that the library that loaned us the
item receives credit for it?  I assume since the item aged out while it
was in their queue, the lending library can no longer access the
request.  Is there anything they can do to mark it "Shipped" so I can
receive it?  Obviously, I don't want to cancel the request, but I'm not
sure of what to do.  I will email the "In process" lender to let them
know not to send the item.
