[ILL-L] RE: overdue notices

We are a small institution so it is fairly easy to keep track of overdues for our own patrons (think 250 - 400 returnables a year). Lending is a little bit harder (a little over 1000 a year). This may be part of the reason that, sadly, here at OXG (Walla Walla University) we do not have any specific overdue notice policies in place.
On the lending side, I try to run them every month. That said (and I hate to admit it), in actuality I generally only end up running overdues to other libraries when towards the end of the quarter.
Since we have Clio, I use it to print the lending overdue notices. We have it set up to choose ILL's that are 30 days or more overdue. I run second overdue notices at the same time I run first notices...and Clio chooses loans for which the first notice was printed 30 days or more previously. Once a second notice has been sent, I try to get a bill out about a month later. So, I suppose this means a minimum of three months before we bill...max of (yikes!) seven. Thank goodness it doesn't happen very often.
Now, to our own patrons...that is a slightly different story. I do not use Clio, instead I send a personalized email notices. If things are slow (which this quarter is uber slow) I will send out reminder notices a few days before an item is due and then overdues if they are a day late. If it is a little busier, I only will send out an overdue about two or three days after an item is due. We have a policy of a $1.00 a day overdue fee to our own ILL patrons, so when I tell them that they already owe $2-$3... generally things come back in a hurry.

Subject: [ILL-L] overdue notices
Hello ILLers,
I was wondering how often you send overdue notices to your own patrons & to other libraries. Do you send them out daily or weekly? How long do you wait before you send a second notice-to patrons & other libraries? Do you have a schedule or a policy that you follow? Any insight would be greatly appreciated.
