I sent this email to the Ariel listserv on Friday, but did not get any
responses.  I am sending again, this time also to the ILL listserve.
Would some kind soul in ILL land have time to respond?  If I can get
these questions answered then we will be able to post our patron
requests to a server instead of sending them via email.  Thanks a
million.

We have just set up Ariel to post requests to the server rather than
sending them through email to our own patrons.

 

I have a couple of settings questions for those libraries that already
do this:

 

1.	What do you have for a setting on how many times a request can
be viewed by the patron?  How many days/weeks?
2.	How long do you keep the requests on the server?
3.	What is our responsibility as far as copyright is concerned for
keeping requests on the server?  In other words, does copyright law
dictate in any way how long we keep requests on the server?

 

I also have a workflow question:

 

1.	How do you keep track of which documents have been recorded and
updated in your ILL management software?   Let me explain.

 

We use Clio as our management software, but we are not using ClioAdvance
to do the posting of the requests.  We are posting strictly using Ariel.
When we were sending requests via email, I would have my student workers
record each request's ILL number, lender symbol, and the number of pages
in the article on a small form I created for this purpose.  (The request
would then be saved to the Ariel Archive Queue in case the patron does
not receive it.)  The student worker would then take this information to
another computer that has Clio and update each request to RecCopy.  The
next day we would delete the request from the Delivery Queue after
making sure it was saved to the Archive Queue.  Once all of yesterday's
requests were deleted from the Delivery Queue, we could then see what
new requests had been received since the last time we recorded received
requests on the form I created.  Keep in mind that I have Auto
Forwarding to patrons activated. 

 

Now that we will be posting requests to the server, the requests must
stay in the Delivery Queue.  We tested it, and if you delete the
requests from the Delivery Queue, it also deletes them from the server.
If there are going to be an on going number of requests in the Delivery
Queue, how will I know what ones have been already updated to RecCopy.

 

I do not use the automatic updating feature between Clio and Ariel
because the count of pages in the article is not accurate.  Clio, and
correct me if I am wrong, uses the number of pages sent, subtracts one
for the header page and uses that number for the number of pages field
in Clio.  However, when an article is scanned two pages to a page, or
extra pages are included like the copyright page, the count of pages is
wrong.

 

There has got to be an easier way to do this!  I will appreciate any
advice or suggestions.  

 

I may have more questions, but I would like to begin with these.  Thanks
