[ILL-L] Wrong Format

The problem is that there isn't a common display for all ILL management
systems. In ILLiad, you see a book and an article/copy slot on our
screen. We don't lend AV and have AV requests auto-deflected - but we
sometimes get requests for AV sent to us as article/copy requests.
This may explain why this is happening.
Unfortunately, there isn't anything in the requests we get to indicate
that an alternative edition would be accepted or that it wouldn't.
I find that putting LARGE PRINT ONLY next to the title gets us what our
customers want. In Lending, we look books up by OCLC number, then ISBN
number if that doesn't work, then by title if the OCLC and ISBN fail.
Sometimes the book under that OCLC number no longer exists in our
catalog and wasn't removed from the OCLC database (a separate step) when
the last copy was withdrawn or went missing. In most cases providing an
alternate edition doesn't matter to our borrowers; for example,
substituting a trade paperback edition of a Zane book instead of the
hardback edition of the same book. But there are case where a customer
wants a certain edition only and it's helpful to let lenders know that.

I add special instructions in all caps to the "article" field because
it's in the middle of the form and easy to spot.

Sue,
One field that can be 'edited' with direct request is the edition field,
which appears on at least one of the 2/page print options for lenders.
One can create a profile for sound recordings - cassettes and one for
sound recordings - cds (and another for books).
Then constant data records can be created for use with each specific
profile, and they can include reference to format in the edition field.
(You could also include that information in the Borrower Notes field, if
you still hold faith that lenders will look there).
For example, the edition field could include: ******** CASSETTE FORMAT,
Please **********.
Success depends on the consistency of the cataloging for format as well
as which management systems or print tools include the edition field.
And it would not solve the problem of musical vs nonmusical recordings
(we haven't figured out how to set that one).

At our library we receive at least five items a week that are not the
format that we asked for. The shortened record that the lender sees
does not indicate a format type. I have sent an e-mail to OCLC to see
if they could add a format field to the shortened record, but I'm not
holding my breath. Our requests go Direct Request so we cannot add
anything to the title line to make it more clear. If it's possible,
could you please try searching your catalogs by the OCLC# that's on each
request? That way you would see the exact record that was requested.
Thanks.
