[ILL-L] Wrong Format

We too sometimes use the article field to indicate something about a loan. But that brings upad question I have not had an answer for.
It has been my understanding that entering anything in the article field automatically causes WRS to label the request as 'copy' and that causes the request to enter e-management systems, like ILLiad, as copies and affects their statistics. ILLiad people: is this true? Does this cause you any issue to have non-copy information in the article field?
On the related issue of how to determine which format is being requested, I find it particularly unhelpful that ILLiad (I don't know about other management systems) appears to over-write the imprint field with the ILLiad TN. This is not information that helps anyone lend the proper item. It is far more helpful to the lender to see the format, which IS normally in the imprint field.

I add special instructions in all caps to the "article" field because it's in the middle of the form and easy to spot.

One can create a profile for sound recordings - cassettes and one for sound recordings - cds (and another for books).
Then constant data records can be created for use with each specific profile, and they can include reference to format in the edition field. (You could also include that information in the Borrower Notes field, if you still hold faith that lenders will look there).

Success depends on the consistency of the cataloging for format as well as which management systems or print tools include the edition field. And it would not solve the problem of musical vs nonmusical recordings (we haven't figured out how to set that one).

At our library we receive at least five items a week that are not the
format that we asked for. The shortened record that the lender sees
does not indicate a format type. I have sent an e-mail to OCLC to see
if they could add a format field to the shortened record, but I'm not
holding my breath. Our requests go Direct Request so we cannot add
anything to the title line to make it more clear. If it's possible,
could you please try searching your catalogs by the OCLC# that's on each
request? That way you would see the exact record that was requested.
