[ILL-L] How to finish up requests in Resource Sharing when
paying for loss

Janet,
A request that goes to overdue enters the Special Messages file, along with requests that were shipped but not received, and it can remain there for a long time (I believe it's 180 days).
Since I look to this file for alerts on transactions that need my attention, I don't want it cluttered up unnecessarily. For that reason, I place a message in the borrower's notes field indicating that we sent the lender's invoice to our finance folks, the date we did that, and an explanation that I am updating the request to returned so the transaction can be completed.
I realize that the return status isn't necessary for the lender to complete, but not all lenders do complete after receiving payment.
As lenders, we always update requests to complete when we receive payment. This keeps both our lender special messages relevant, and clears the request from the borrower's special messages as well.
If you never attend to your special messages, or if you have a management system that takes care of that for you, then I can't think of any protocol that would force you to make any adjustments for the sake of the lender.

I have a question as to how institutions are finishing up requests that
they borrow and then unfortunately have to pay for.
Once we send a check to the lending library should we be updating OCLC
resources sharing? And if so with what status since are not returning
the item? Or does the lending institution update OCLC resources sharing
when they receive the check?
