[ILL-L] refunds for lost items returned - time limit

As a general rule, we will issue a refund if the item is returned - we'd far
rather have the book than the check.  The only time we've really had it come
up is within a few days to a week of the check being received and so we
usually haven't done a deposit yet.  We'll just hold the check until the
book arrives and then mail back the check.  We don't have a specific policy
for this situation as we bill for so very few books each academic year.
 
When we've paid for a book, we tend to just keep the item and add it to our
collection if it shows back up later.

Dear Colleagues,

 

Do your libraries have a cut off period after which you will not refund the
replacement costs for a lost item that has been returned?  If so, how long
is this period?  Is the period the same for items lost in interlibrary loan?
Is this information published in your circulation and interlending policies?
