We make sure we check items in as soon as we receive them (within a few
hours, if not that day). If you watch the status of the item when
you're checking it in, it will occasionally still be at In Process when
you try. I always send out an email right away letting them know of the
update disconnect, and ask them to update ASAP so it doesn't move on to
the next lender. If it has already moved on to another lender but
hasn't yet been shipped by them, I always call them to let them know of
the error, then delete the request so it doesn't keep going. If it has
moved on, and has been shipped by someone else... not much you can do.
I know you have a huge loan operation, which may make this kind of
updating difficult - by the time you get the item, it will have probably
already moved on. In that case, I would let the offending library know
that we've been getting a lot of requests that move on after they ship
it. It shouldn't be an ILLiad issue, because it updates instantly. In
Clio, it could be that the library isn't sending their updates to OCLC
every day, which could be a staff or a network connectivity issue.

We are seeing more and more of this: items shipped to us by libraries
that allowed a request to the next lender. We then end up with duplicate
copies --- wasted staff time and postage at both ends.
There are some libraries which we notice follow this pattern with
frequency. Others are intermittent. Should I bring it to the attention
of the libraries which allow the aging and then ship anyway? Or is this
due to some disconnect between ILLiad or Clio and WorldCat that they
can't help? (We do not use ILLiad or Clio here.)
