[ILL-L] Another Pet Peeve: Disappearing Requests -- Ties into "Aged to next lender" issue

Hi all,

We've been having a little problem lately creating mistaken duplicate 
requests for our member libraries.  (We're a processing center for about 40 
towns in our region.)  There has always been some of it, but lately, for 
various reasons, we have been getting more.

So, if we realize that we've made two requests for the same item for the 
same patron, we look at them on WorldCat and see if we feel OK deleting one. 
 If the one we want to delete is IN PROCESS, we call and see if we can speak 
to someone before we delete the request so we won't waste their time and 
postage as well as our own.  If it's simply PENDING, though, we just delete 
it figuring Clio and Illiad would have changed the status to IN PROCESS if 
anyone is actually working on that request.   I don't think this procedure 
should be causing major problems out there in lender land?   Don't want to 
be doing that......

Well HERE is where that "Aged to Next Lender" issue comes in!! 
 
Sometimes when I've got something in that has already passed to the next 
lender in the string, I cancel the request so that it isn't duplicated. 
Whenever possible, I send an email to the lender who has the request in 
their Pending or In Process file. But sometimes I just can't get to it.

It’s one of our pet peeves too.  Having that yellow highlighted (in 
ILLiad) Record not found pop up is frustrating- even to those of us that 
don’t charge for loans or photocopies.  The staff time and resources go to 
waste when we can’t fill a request because it has been cancelled by the 
borrower PLUS it needlessly takes that item out of our customers’ hands 
for a period of time.

Sometimes requests, "disappear," from our In Process file between the time 
we pull them off, process and send, and attempt update them as shipped.  
When this happens, we cannot be paid for the work we completed.  We suspect 
that some libraries are thus deliberately avoiding payment.  In others, we 
suspect that the requesting library thought that we had not had time to 
process it (most of our request are for electronic journals, and turnaround 
time is often less than an hour, sometimes in as little as ten minutes).  In 
the National Library of Medicine's DOCLINE system, a library cannot cancel a 
request that is in the equavalent of In Process.  It would be helpful if 
OCLC instituted this enhancement.
