[ILL-L] Going paperless (Yikes!)

You'll be fine, Beth.  I've been "paperless" for about 14 years.  The worst that can happen is a patron will lose all the paperwork & the book will return to you naked.  So, you look it up in your system & find all the information.  Or you go to FirstSearch & look it up there and print out the request form to send back with the book.  It's not a big deal & you'll love it.  Just don't make it too complicated.

Good Monday morningILLers :)

Our department has maintained a paperfile of all borrowing activity for lo' these many years. (Sigh) Needlessto say, the chore of keeping up this file is tedious and time consuming. At thevolume level we operate, we cannot afford to spend time on manual tasks such asthis.

As of today, we're biting the bullet andallowing that file to die by attrition. Yay!

But ... yikes! There goes our securityblanket! Kind of like trashing your shelflist!

After much discussion on workflows andensuring we don't lose important transaction information, we think we haveeverything covered. But I want to dot my I"s and cross my T's by asking youveterans of this particular transition whether there is anything you learned thehard way that I need to keep in mind?

Some notes about our newprocedures:

1.      
      We are allowing any paperwork which came fromthe lender to stay with the item, either clipped to the bookstrap or tuckedinside the sleeve of AV cases.
2.      
      All information regarding the item (e.g.condition, parts& pieces) and the loan transaction (e.g. lender's duedate, renewal& return shipping instructions) is included inthe brief title record in our ILS.

Is there anything you would alsorecommend to us? We intend to communicate via Staff Memo to all branches thefact that ILL materials will now have paperwork accompanying and they need tostress to patrons that this paperwork must return with them item.

We're all a bit tense here in making themove toward "paperless," so any reassurance you can provide is deeplyappreciated!
